Meaning Matters Psychology – Telehealth Clinical Psychology Services

Introduction

These Terms and Conditions govern your use of Meaning Matters Psychology telehealth clinical psychology services.
By booking or attending a telehealth appointment, you agree to be bound by these Terms and Conditions and to comply with all applicable laws in Australia.

 

Nature of Services

  • We provide psychological assessment, therapy, and related services via secure telehealth platforms.

  • Our psychologists are registered with the Psychology Board of Australia and adhere to the Australian Psychological Society (APS) Code of Ethics and the Privacy Act 1988 (Cth).

  • Telehealth is not a crisis or emergency service. If you are in crisis, call 000 or Lifeline on 13 11 14.

 

Telehealth Requirements

  • You are responsible for having a stable internet connection, a private location, and appropriate technology (camera, microphone, secure device).

  • You agree not to record telehealth sessions unless there is prior written consent from both you and your psychologist.

  • We may provide an alternative contact method (e.g., phone session) if technical issues prevent a video session.

 

Confidentiality and Privacy

  • All information you provide is treated in accordance with our Privacy Policy.

  • We use secure, encrypted telehealth platforms.

  • Limits to confidentiality apply where:

    • There is a serious risk to your safety or the safety of others.

    • We are required by law to disclose information (e.g., court order, mandatory reporting).

 

Bookings and Cancellations

  • Appointments can be booked online, via email, or by phone.

  • A minimum of 24 hours’ notice is required to cancel or reschedule.

  • Cancellations with less than 24 hours’ notice, or non-attendance, may incur a cancellation fee of 80% of fee (non-rebatable by Medicare/private health funds).

 

Fees and Payments

  • Session fees will be confirmed at the time of booking.

  • Payment is required on the day of service, unless otherwise agreed in writing.

  • We accept direct deposits / EFT and process Medicare rebates (if applicable) after payment is received.

 

Medicare and Insurance

  • Medicare rebates require a valid Mental Health Treatment Plan from your GP or psychiatrist, dated within the eligibility period.

  • It is your responsibility to ensure you meet all requirements for Medicare or private health claims.

 

Professional Boundaries

  • Psychological services are strictly professional in nature.

  • Any form of harassment, abuse, or inappropriate conduct toward staff will result in termination of services.

 

Technology Risks

  • While we take reasonable steps to ensure secure telehealth sessions, we cannot guarantee complete protection from technical failures, internet disruptions, or third-party platform vulnerabilities.

  • You acknowledge and accept these risks when choosing to use telehealth.

  • Clinicians at our clinic are using NovoNote, an automated tool designed to assist clinicians with taking session notes. Below is an explanatory statement about the technology.
    Purpose of the automated note taker: The use of an AI enhanced note taker was adopted to enable us to focus more on communication and your care during sessions, rather than being distracted by manual note-taking.
    What we Saved: As a healthcare provider, we keep notes of our contact with you to help us serve you better. Our AI note taker, NovoNote, helps by transcribing the session and then providing a summary of that session. Typically, the transcript of the session will be deleted and will not make up part of your patient file, while the summary is saved as part of your file. Audio of the session is never saved.
    Compliance and Security: NovoNote complies with the Australian Privacy Principles and is compliant with AHPRA and HIPAA standards. It adheres to industry encryption and security protocols. NovoNote operates on a secure server in Australia and your data does not contribute to training AI models. Limitation of Liability

  • To the extent permitted by law, we are not liable for any loss, damage, cost, or expense arising from your use of telehealth services, except where caused by our negligence or breach of professional duty.

 

Termination of Services

  • We reserve the right to discontinue services if:

    • You repeatedly miss or cancel appointments without notice.

    • There is a breakdown of the therapeutic relationship.

    • You require a level of care outside our scope of practice.

 

Amendments

We may update these Terms and Conditions from time to time. The latest version will be available on our website or provided to you on request.
